Tour Guide System: Rent, Buy, or Use an App?

If you guide groups in places where a normal speaking voice doesn't carry, you have three realistic options: rent a tour guide system, buy one, or use an app that turns your guests' phones into receivers. All three solve the same problem. They differ in what they cost you in money, in time and in risk.

Option 1: Renting a receiver set

You order a set for the day or the week: a transmitter for you and a receiver for each guest.

What's good about it: no upfront investment, the equipment is maintained by someone else, and it works without any mobile signal.

What it involves in practice:

  • a daily fee for every device, so the bill grows with the group,
  • often a deposit and a delivery or pickup charge,
  • booking ahead, so a last-minute tour may not be covered,
  • handing out and counting back every unit, and answering for the ones that go missing.

Renting suits you if you guide a few times a year, at sites where the mobile signal can't be trusted.

Option 2: Buying your own set

You pay once and the equipment is yours.

What's good about it: always at hand, no per-tour fee, independent of the mobile network.

What it involves in practice:

  • a significant upfront cost, tied to a fixed number of receivers,
  • charging the whole case before every tour,
  • cleaning earpieces between groups, or stocking disposable ones,
  • replacing lost and worn-out units yourself,
  • carrying the case to every meeting point.

Buying makes sense if you guide very often, with roughly the same group size, and mostly at sites where the signal is poor.

Option 3: A tour guide app on the guests' own phones

You create an event, show a QR code, and guests listen on their own phones with their own earphones. There is no hardware to own or rent.

What's good about it:

  • nothing to hand out, collect, charge or disinfect,
  • group size is free, a 12-person walk and a 60-person coach work the same way,
  • you can set up a tour in a minute, even on the day,
  • you pay only for tours that actually happen.

What it involves in practice:

  • you and your guests need mobile data or Wi-Fi throughout,
  • guests need a smartphone, and earphones are strongly recommended,
  • as the guide, you rely on your own phone's battery, so a power bank is worth carrying on long days.

A simple way to decide

Ask two questions.

Is there a usable mobile signal where you guide? If the answer is regularly no, and there is no on-site Wi-Fi, stay with radio: rent if you guide rarely, buy if you guide weekly.

How predictable are your tours? If the group size changes from day to day, or tours come up at short notice, a fixed set of receivers will often be too small or sitting unused. That is where an app is the easier fit.
